Setting up corporate car service in El Monte
Corporate travel works best when one person owns it. These are the questions we ask, and the answers that help.
These notes apply whether the booking is a single pickup or a month of them, and they take only a few minutes to cover.
Who is the contact
Give us a name and a phone number for the person who can approve changes. If a flight lands early or a meeting moves, we call that person, not three different people.
What the itinerary looks like
Send the arrival times, the pickup addresses and the final stops. We build a schedule that fits the actual building entrances, not just the street numbers. Flair Drive offices, for example, often have a specific lobby for visitors.
How many cars
Count heads and bags. A single SUV carries up to six with luggage. Eight people with bags need two cars, and we time them together. We would rather over-plan the room than squeeze a team into the wrong vehicle.
What to share with drivers
Names for the arrivals sign, a short note on who is important, and the number to reach on the day. Anything sensitive, like a quiet arrival for a confidential visitor, should be told to us at booking.
Timing for the day of the event
For a grand opening or an annual dinner, we agree on a run sheet: first pickup, the curb at the venue, the break between sessions and the ride home. Printed or texted, it keeps drivers and hosts on the same page, and it makes late changes easy to communicate.
Visitors who need extra care
Some guests travel with children, a senior relative or a lot of equipment. Mention it on the booking and we choose the vehicle, add a child seat if you ask for one and plan the stops so nobody is rushed.
Dress and conduct
Chauffeurs arrive in professional dress and keep the cabin calm. If your client has a protocol for greeting or seating, share it and the driver will follow it. We want your guests to feel looked after from the first handshake to the last drop-off.
Receipts and records
Tell us what your accounting team needs for each ride. We will work out the details with you when you book.
